Project Overview

Hostel Attendance and Management System Using MERN Stack is a web-based application designed to simplify hostel administration and student record management. It brings attendance tracking, room allocation, complaint handling, mess-off requests, and invoice management into one centralized platform.

Developed using MongoDB, Express.js, React.js, and Node.js, the application provides separate Admin and Student roles. JWT authentication helps manage access, while the React interface and backend APIs support hostel-related workflows.

Key Features

  • Admin Dashboard: Display summaries of student records, attendance activity, complaints, outstanding invoices, room information, and other hostel operations.
  • Student Management: Register students and maintain names, email addresses, student IDs, and contact details.
  • Room Management: Create and manage hostel rooms with room numbers, floors, capacity, monthly hostel charges, and mess charges.
  • Room Allocation: Assign students to available hostel rooms and maintain allocation information.
  • Attendance Management: Record attendance statuses including Present, Absent, Late, and On Leave.
  • Complaint Management: Allow students to submit hostel-related complaints and administrators to review, respond to, and update their status.
  • Suggestions Management: Enable students to submit suggestions and administrators to review them and update their statuses.
  • Mess-Off Requests: Allow students to submit mess-off requests with dates and reasons, while administrators approve or reject pending requests.
  • Invoice Management: Generate monthly invoices, maintain billing records, and review outstanding amounts.
  • Notifications: Display relevant hostel-related messages and updates within the application.
  • CSV Reports: Export supported records for reporting and further analysis.
  • Dashboard Summaries: Display operational summaries based on data returned by the backend API.
  • JWT Authentication: Support authenticated access to the application and its role-specific functions.

Administrator Workspace

Administrators can register and manage students, create hostel rooms, allocate rooms, maintain attendance records, review complaints and suggestions, approve or reject mess-off requests, and generate monthly invoices. They can also access dashboard summaries and supported CSV reports.

Student Workspace

Students can log in using their credentials, view available dashboard information and attendance records, access assigned room details when a room has been allocated, submit complaints and suggestions, request mess-off periods, and view invoice records and notifications.

Attendance Management

The attendance module stores student attendance records and supports Present, Absent, Late, and On Leave statuses. Supported attendance information can be exported through the CSV reporting functionality, making it easier to review and maintain records.

Room Allocation and Hostel Billing

The room management module maintains room numbers, floors, capacity, monthly hostel charges, and mess charges. Administrators can allocate rooms to students. The invoice module supports monthly invoice generation and tracking of outstanding billing records. Payments are maintained as administrative records; an integrated payment gateway is not included.

Technology Stack

  • Frontend: React.js
  • Backend: Node.js and Express.js
  • Database: MongoDB
  • Programming Language: JavaScript
  • Authentication: JSON Web Tokens (JWT)
  • Charts: Recharts
  • Frontend Development Server: Vite

Software and Tools Required

  • Node.js version 20 or later
  • MongoDB version 7 or later, locally installed or through MongoDB Atlas
  • Visual Studio Code
  • A modern web browser
  • Terminal or command prompt

Project Applications

This project is useful for demonstrating hostel administration, student attendance tracking, room allocation, complaint handling, mess-off requests, invoice records, and role-based web application development. It can serve as a practical learning project for students exploring the MERN stack.

Important Billing Note

The project maintains invoice and payment-related administrative records. It does not include an integrated payment gateway, so online payment processing should not be assumed to be available.
